Asset Discovery
Establish exactly what is being retired, and where it sits.

Collection & Logistics
Move the hardware off your floor without disrupting what stays.
- Schedule around your change window, not ours
- Pack, palletise and label to survive transport intact
- Coordinate gate passes, security clearance and building rules
- Transport from your site to our facility under a documented movement record
- You receive
- A signed handover record covering every item that left site
- We need
- A site contact, access window and any gate-pass paperwork

Asset Assessment
Determine what still has working life, and what does not.
- Verify received items against the handover record
- Record make, model and serial for each unit
- Assess condition, completeness and reuse potential
- Separate assets with residual value from those for material recovery
- You receive
- An itemised assessment of what was received and its disposition
- We need
- Nothing further — this stage runs on our side

Data Security & Processing
Media handled the way you instruct, recorded line by line.
- Data-bearing media itemised separately from the rest of the consignment
- Your instruction governs: retain media yourself, remove it before handover, or hand it over under an agreed written process
- Media that transfers to us is logged against its host asset and tracked
- Where your policy requires a specific standard or a certificate of destruction, we tell you plainly whether we can meet it before you commit

- Your data-handling policy, or a written instruction per consignment

Reuse & Recovery
Keep working hardware working before it becomes material.
- Assets with genuine working life are routed for reuse rather than recycling
- Components and modules recovered where the whole unit cannot be reused
- Residual value assessed and shared with you against the agreed commercial basis
- Anything that cannot be recovered moves to the final stage

- A disposition summary: reused, recovered or routed to recycling
- We need
- Agreement on the commercial basis before collection

Responsible Recycling
Close out end-of-life material through accountable channels.
- Non-recoverable material routed to recycling channels we can name to you
- Handling aligned to India's E-Waste (Management) Rules as they apply to your consignment
- Documentation returned so you can close the asset register and evidence the route
- Downstream routing disclosed on request — we will not claim a channel we cannot show you

- Closing documentation for your records and audit file

- Confirmation of who receives the final paperwork
Documentation
Five documents, and each one reconciles with the next.
- Scope document
- Issued before collection. Lists what is in scope, what is explicitly excluded, and the agreed commercial basis. Nothing is collected outside it without a written change.
- Handover record
- Signed at the point of collection by your site contact and our team. Every item that leaves the building appears on it, with data-bearing media itemised on its own lines.
- Receipt & assessment report
- Produced after items arrive at our facility. Reconciles what was received against the handover record and records make, model, serial and condition per unit.
- Media register
- Where media transfers to us, a register of every drive or cartridge received, tied to its host asset, reconciled against the handover record.
- Disposition record
- Closes the engagement. Shows, per asset, whether it was routed to reuse, component recovery or material recycling — the record your asset register and ESG reporting need.

What we need from you
None of this needs to be perfect before you contact us. It is simply what the process eventually requires, so you know what is coming.
- A rough scope — a list, an export, or photographs
- A named site contact who can authorise the collection
- A written instruction on how data-bearing media is to be handled
- Access details: hours, loading bay, lift, gate-pass procedure
- Confirmation of anything leased, under warranty or client-owned
- Sign-off on the commercial basis before collection

FAQ
Questions we are asked before the first call
- 01How long does a typical engagement take?
- Scoping is usually a few days of correspondence. Collection is scheduled around your window rather than ours. Assessment and the closing documentation typically follow within a couple of weeks of receipt, depending on volume. We give you a date range at the scoping stage and tell you if it changes.
- 02Who signs the handover record?
- Your nominated site contact and the AK Computer team member running the collection. Both parties keep a copy. If your security or facilities process requires a gate pass or a separate material-outward form, we complete that as well.
- 03Can you work to our own paperwork instead?
- Yes. If your organisation has a mandated disposal form, gate pass or approval workflow, tell us at the scoping stage and we will run to it rather than asking you to adopt ours.
- 04What happens if something is found that was not on the list?
- It is recorded on the handover record as an addition and flagged to you before it leaves the site. We do not quietly absorb items that were not in the agreed scope.
- 05Do you sign NDAs?
- Yes. Send your NDA with your first message and we will review it before the scoping conversation. We will tell you plainly if any clause is one we cannot meet.
